Privacy Policy

Introduction

We respect your privacy and handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA).

Scope and applicability

This policy applies to personal information we collect, use, or disclose in the course of our activities in Canada (including cross-border transfers).

Definitions

“Personal information”: any factual or subjective information, recorded or not, about an identifiable individual. This includes information in any form, such as: name, email, postal address, phone number, payment info, IP address, purchase history, etc.

Purposes for collection, use and disclosure

Any collection, use or disclosure of personal information is done so for purposes that a reasonable person would consider appropriate.
The data we collect is used:

  • To process orders, payments and deliveries.
  • To communicate order status, account notices, and customer service.
  • To provide marketing and promotional offers (with consent where required).
  • To detect and prevent fraud and enforce terms of service.
  • To comply with legal obligations (tax, customs, refunds, disputes).

Lawful basis and consent

We obtain consent at or before data collection (express consent for sensitive information and for marketing where required). Implied consent may apply for routine transactional information necessary to fulfill an order. You may at any time withdraw your consent and subsequently have your data removed.

Types of information collected

  • Account and contact details: name, email, phone, billing/shipping address.

  • Transaction history: purchases, returns, refunds.
  • Technical data: IP address, device/browser identifiers, cookies, analytics data.
  • Communications: order status, receipt/refund notices, customer service.

How we collect information

  • Directly from you (forms, orders, customer service, emails, social media messages).
  • Automatically via cookies and similar technologies.

Cookies and similar technologies

We use cookies for essential site operation, and analytics. You can manage cookie preferences via our cookie banner/settings. Third-party cookies (analytics and advertising) may collect information on our site and across other sites.

Sharing and disclosure

  • Service providers (payment processors, hosting, analytics, logistics).
  • Legal or regulatory authorities when required by law or to protect rights.
  • In the event of a corporate transaction (sale, merger, financing), personal information may be transferred subject to confidentiality and this policy.
  • Categories of recipients and purposes are documented and limited to necessary processing.

Cross-border transfers

Personal information may be stored or processed outside Canada. We use contractual safeguards and assess third-party practices to protect information when transferred across borders.

Retention

We generally store information about you for as long as we  need the information for the purposes for which we collect and use it,  and we are not legally required to continue to keep it. For example, we  will store order information for six years plus one additional year (for processing) for tax and accounting purposes (CRA Income Tax Act Section 230(4)). This includes your name, email address and billing and shipping addresses.

Safeguards and security

We implement administrative, technical, and physical safeguards proportionate to the sensitivity of the information (access controls, encryption in transit and at rest where feasible, secure development practices, vendor assessments). No system is 100% secure. However, information sent to us may not be secure while in transit. As part of standard operation, online transactions may be followed by emailed receipts to the email address provided, and notification emails to/through our systems. Order updates may be communicated to the email address provided. Email is not encrypted and is subject to standard email security measures. Never send sensitive personal information such as passwords, payment card numbers, etc through email.

Access, correction and other rights

  • Individuals may request access to their personal information, request corrections, or request deletion where applicable. To request any of these actions, see our contact page or email: contact@meadowandmill.ca. We will verify identity and respond within a reasonable time. Deletion of personal data does not include any data we are obliged to keep for administrative, legal, or security purposes.
  • Marketing opt-outs: links to unsubscribe are included in all marketing emails; users can also opt out by emailing: contact@meadowandmill.ca. Emails which are transactional in nature contain no opt out options.

Complaints and dispute resolution

For privacy questions or complaints, contact us via email (contact@meadowandmill.ca) or our contact page. If unsatisfied, individuals may file a complaint with the Office of the Privacy Commissioner of Canada.

Children

Our services are not intended for children under 18. We do not knowingly collect personal information from children; if discovered, we will delete it. If you are a parent/guardian and suspect your child’s personal information may be in our possession, please contact us to have the data removed.

Links to third-party sites

Our site may link to third-party websites with their own privacy practices. We are not responsible for those practices.

Changes to this policy

We will post changes to this policy with an updated effective date. Significant changes will be communicated by notice on our site or by other means.

Plugin-specific

Litespeed Cache

This site utilizes caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary. WP Statistics

We use the WP Statistics plugin to analyze traffic on our website. WP Statistics stores its data on our own server and does not transmit it to any third parties. Below, we describe what information we collect through WP Statistics, why we collect it, and how it is handled. We do not collect or store any information that can identify you personally. This means:

  • No Cookies: We do not set tracking cookies or similar identifiers in your browser.
  • Anonymized IP: Your IP address is anonymized and securely processed (e.g., hashed) so it can’t be reversed to identify you.
  • Aggregated Statistics: We only track general activity like page views or country of access.
  • Local Storage: All data is stored locally on our secure server; we never share it with third parties or sell it.

WooCommerce

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping  address: we’ll ask you to enter this so we can, for instance, estimate  shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

What we collect and store:
When you purchase from us, we’ll ask you to provide information  including your name, billing address, shipping address, email address,  phone number, and credit card/payment details. We’ll use this information for  purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our store offerings
  • Send you marketing messages, if you choose to receive them
